Windows Fax Connector Node

The iManage Connector node is designed to allow new and existing Dispatcher Phoenix workflows to distribute files to iManage. The connector allows you to send documents to iManage via an automated workflow, or access iManage directly at the MFP panel.

Note: To use the iManage Connector node, you must have an iManage account.

To open the iManage Connector node configuration window, add a distribution node for iManage to your workflow and double-click it.

Adding Your iManage Account

To utilize the iManage Connector, the user must first add their iManage Account to Dispatcher Phoenix Web. For more information, see the Dispatcher Phoenix Web Accounts page.

Configuring the iManage Connector

  • Enabled - To enable this node in the current workflow, ensure the Enabled box is checked. By default, nodes are enabled upon creation. If you disable the node, the workflow will ignore it. While the workflow will still validate, documents will not be output and may be lost. Note that a disabled node does not check for logic or error conditions.

  • Node Name - The node name defaults to this field. This name appears in the workflow below the node icon. Use this field to specify a meaningful name for the node that indicates its use in the workflow.

  • Node Description - Enter an optional description for this node. A description can help you remember the purpose of the node in the workflow or distinguish nodes from each other. If the description is long, you can hover the mouse over the field to read its entire contents.

Buttons

  • Help - To access Dispatcher Phoenix Online Help, click this button.
  • Metadata - To access the Metadata Browser window, click this button.
  • Cancel - To exit the window without saving any changes, click this button.
  • Save - To preserve your node configuration and exit the window, click this button.

Connection Setup

In the Connection area:

  • Account - Click the drop-down to see a list of authorized iManage accounts.
  • Connection timeout (in seconds) - Specify the number of seconds you want to elapse before a network connection times out (i.e., for login or logout operations).
  • Refresh Data - Selecting this button will send a new request to iManage to retrieve any updated iManage libraries, folders, etc. from the currently selected account.

Connecting to iManage

To connect to iManage, do the following:

  1. In the Connection area, select an iManage account from the dropdown.

Note: You must first set up your iManage account through Dispatcher Phoenix Web in order for it to appear in the dropdown.

To modify the default Connection Timeout (the seconds allotted for the time without communication, after initial connection to the server, before a timeout occurs), enter a value in the Connection Timeout field.

Node Configuration

To begin sending messages, do the following:

  1. In the Folder Browser area, select an iManage folder to save your documents in. You also have the following Options:
  • New Folder - Create a new folder in iManage with the provided name.
  • Search for Folders - Enter a string and search all folders for that string.

Note: If you have access to more than one Library, only the folders in the Preferred Library will appear in the node. For more information, see the iManage online help.

  1. In the Document area, use the Document field to select a document to relate to any documents being uploaded to iManage.
  • Select the Browse button.
  • Use the Search field to search for a document or use the folder tree to navigate to a document.
  • Select the document you would like to associate with documents distributed from this node.

Connect to iManage

If you have previously associated a document, you can select the Clear button to remove the association.

  1. Select any Additional Attributes necessary. These options are mutually exclusive. Options include:

    • None
    • Lock Document - These documents cannot be edited and are denoted with a lock icon in iManage. Locked documents can be unlocked in iManage by the user who locked them or by an iManage administrator through the Control Center.
    • Declare as Record - These documents are marked as formal records and are denoted with a red asterisk. They cannot be edited, versioned, or overwritten. An iManage administrator can modify or remove the Record designation.
  2. Select what to do if a document with the same name already exists:

    • Upload as new version - Uploads the document as a new version of the existing document. Versions can be accessed in iManage.
    • Upload as new document - Every document uploaded will be a new document with no version history.

    Note: All uploaded documents have a unique folderId and documentId, even if they have the same name.

  3. Select a Class from the dropdown. Then, if necessary, select a Subclass from the dropdown.

Connect to iManage

  1. Use the Comment field to add a comment that will be saved along with distributed documents.

  2. Select the Save button to save the node configuration and close the node.

Creating the iManage Index Form

To set up the iManage Connector with an attached Index Form, do the following:

  1. Add a node that is capable of attaching an Index Form (e.g. MFP Panel) to your workflow by dragging it into the Workflow Builder area. Then, connect it to the iManage Connector.

  2. Configure the iManage Connector node according to the Connecting to iManage section.

  3. Open the node associated with the Index Form.

  4. Click the checkbox next to Attach Index Form. Then, click the + icon to open the Index Form Builder. Next, select the Blank Index Form option in the pop-up, as in the following illustration:

  1. Drag the iManage Basic icon or the iManage Advanced icon to the Index Form Builder working area. Several fields will populate, as in the following illustration:

  1. Validate, save, and close the Index Form Builder.

Accessing iManage at the MFP

When the iManage Connector is configured with an Index Form, the user will be automatically logged into the connected account when accessing the workflow from the MFP.

iManage Basic at the MFP

To access the basic index form at the MFP, do the following:

  1. At the MFP, open the workflow containing the iManage Connector and the node associated with the configured index form, as in the following illustration:

  1. Select the Browse button to open the folder browser. In the folder browser, you can navigate through folders or use the search function to search for a specific folder. Select the folder you would like to save documents to.

  1. Enter any comments in the provided field, as in the following illustration:

  1. Once you have entered the necessary information, select the “Scan” button to initiate the scanning process. Scanned documents are uploaded to the selected iManage folder with the added comments.

iManage Advanced at the MFP

To access the advanced index form at the MFP, do the following:

  1. At the MFP, open the workflow containing the iManage Connector and the node associated with the configured index form, as in the following illustration:

  1. If you would like to switch between iManage accounts, select the Back button in the upper-right corner of the MFP screen. This will take you to the “Select an Account” screen, as in the following illustration:

Otherwise, select the Browse button to open the folder browser. In the folder browser, you can navigate through folders or use the search function to search for a specific folder. Select the folder you would like to save documents to.

  1. Enter any document properties and/or select a class/subclass using the provided fields, as in the following illustration:

  1. Once you have entered the necessary information, select the “Scan” button to initiate the scanning process. Scanned documents are uploaded to the selected iManage folder with the additional information.
